Our Registration Process

Get prepared for registration and learn what you need to fill out your registration form. The form has between 5-6 steps, depending on your registration type.

Step 1: Contact Information

Everyone will see this step. In this section we need your:

  • Preferred Name – this is the name you prefer to be called. This is how we’ll address you when we communicate with you. For example, if your name is Susan and you go by Susie, use Susie here.
  • Your Address
  • Your Phone Number
  • Your Email Address – be sure to use an email address you actually check. We know many people have a “throw away” or “junk” email address they use for things like store rewards programs, but please don’t use that here. After you submit your registration, we will need to contact you to confirm your place. We’ll also send you important stuff like your invoice and our pre-cruise newsletter series. Our invoicing system does not easily allow changes to email addresses once the invoice is sent. And, we need to be able to contact you if we have questions about your registration. We send very few emails otherwise, and never sell your contact information.
  • Mobility Concerns – we ask if you have any mobility concerns, such as using a walker, wheelchair or motorized scooter. This helps us provide the most comfortable experience we can for you when you join us.
  • Registration Type – you can choose between Stitcher and Non-Stitcher, and select your occupancy type (solo, double, or triple/quad)
  • Fabric Preference – if you choose “Stitcher,” this question appears on the form; we use it for the kit you receive as part of the cruise’s stitch-along project(s)
  • Are you paying the registration fee and fare for your cabin mate(s) – this is important for our record-keeping and billing purposes. Please answer accurately.
    • Yes – answering yes means you will receive one invoice for yourself and the cabin mate(s) you include on your form
    • No – answering no means your cabin mate is submitting their own form, and will pay their own invoice. If you need to submit your cabin mate’s registration (for example, if they won’t be near a computer on registration day), but you are not paying their fees, you need to choose this option and then submit a separate form for them after you finish yours

Step 2 – Cabin Selection

On this step, you will choose your cabin type along with an alternate selection. Making an alternate selection will increase your chances of getting a place on the cruise since we have two options for assigning you to a cabin.

If you do not have an alternate selection, please choose “no alternate choice.” We will place you on the waiting list if your first choice is full. Making the same selection for both options does not increase your chances of getting your first choice.

Step 3 – Emergency Contact

On this step, we ask for the contact information of a person who is not traveling with you.

If you have your browser’s auto-fill function turned on, review this section carefully to make sure it did not accidentally auto-fill your own phone number or email address.

Step 4 – Cabin Mate Information

The form on this step will change depending on if you are paying only for yourself, or paying for yourself and your cabin mate(s). We hide this step if you are a solo traveler. The remaining step numbers will be different.

If you are paying only for yourself, we ask for your cabin mate’s first and last name, and email address. This is so we can match up your registrations.

If you are paying for your cabin mate(s) we will ask for the following information for each cabin mate you’re including:

  • Their Preferred Name – as mentioned above, this is the name they prefer to be called. This is how we’ll address them when we communicate with them. For example, if their name is Susan and they go by Susie, use Susie here.
  • Would you like for this cabin mate to receive cruise-related emails? – Select yes if your cabin mate wants to receive our pre-cruise newsletters (topics are mostly general and are not related only to stitching). If you choose “no,” we only send communications to you and you will need to pass on any relevant information.
  • Mobility Concerns (see above)
  • Registration Type – since you’ve already selected an occupancy type, we just need to know if they’re a Stitcher or a Non-Stitcher
  • Fabric Preference – if you choose “Stitcher,” this question appears on the form; we use it for the kit they receive as part of the cruise’s stitch-along project(s)
  • Address – we ask if this cabin mate has a different mailing address from you. If you answer “yes,” fields will appear for you to fill in their address

Step 5 – Passport Information

It’s important that this section be accurate, otherwise there can be problems creating your booking with the cruise line.

If you are paying for your cabin mate(s) you will need to enter their information as well as your own.

You need to fill out the fields to match your passport or passport application. US Citizens who have not yet started a passport application can preview the application here: https://eforms.state.gov/Forms/ds11.pdf. If you are a citizen of another country, please refer to your country’s passport requirements.

  • Passport Status – you will make a selection from the drop-down list
    • I already have a passport
    • I have applied for a passport
    • I have not yet applied for a passport, but I understand one is required
  • Given Name – this is your first name only, as shown on your passport. Your passport may show both your first and middle names, but you should only enter your first name (see examples below)
  • Surname – this is your last name, as shown on your passport. If your passport has a hyphen or apostrophe in your surname, leave it off; the cruise line system does not accept special characters
  • Country of Citizenship – if you are a dual citizen, you will enter the country listed on the passport under which you will travel
  • Date of Birth
  • Gender as shown on the passport

Passport Examples

Names without hyphens or other special characters

The holder of this passport would fill out the name fields with:

  • Given Name: Susan
  • Surname: Stitcher

Her Given Name must be listed as “Susan” even if she goes by “Susie” or “Ann”


Names with Hyphens or Special Characters

The holder of this passport would fill out the name fields with:

  • Given Name: Susan Ann
  • Surname: Cross Stitcher

Both names must be listed without the hyphens. Her given name must be listed as “Susan Ann” even if she goes by some other form of her given name(s).

Step 6 – Other Details

This step has some fields for you to provide us with additional information about your booking

  • Additional Traveling Companions – use this field if you have friends or family who are registering for the cruise, but not staying in your cabin. We use this information to make sure we keep you together in situations like meals or excursions where we’ll have more than one group. It’s helpful if the people you list here also list you on their form.
  • Additional Information – use this field if there’s anything else you’d like us to know when we process your registration

There are also three policy acknowledgements:

  • Refund Policy – you will acknowledge that you have read and agreed to Stitchers Escapes’ refund policy
  • Late Payment Policy – you will acknowledge that you have read and agreed to Stitchers’ Escapes late payment policy
  • Cruise Line Policy – you will acknowledge that you understand that registering with Stitchers’ Escapes requires you to comply with all policies set by the cruise line. Even if those policies change between the time you register and the time we sail, if you decide not to comply, any refund due from Stitchers’ Escape will be subject to the Stitchers’ Escape refund policy.

Step 7 – Review

You’ll be able to review your entries and navigate back to any of the previous steps to make changes before submitting.

Registration Acknowledgment

After you submit your form, you will see an on-screen confirmation. You’ll also receive an email from group.coordinator@stitchersescapes.com with a copy of your submission.

We’ll review your request, check availability of your cabin type preference, and then send you an email confirming whether or not you are registered within 7 business days (sooner if you register on opening weekend). If both your cabin type preferences are sold out, we will place you on the waiting list.
